Rental Guidelines
Services: Don’t Pack It! Rent it! Vacation Gear has been proudly servicing vacationing families along the South Carolina Beaches since 1996. We offer a large variety of items to cater to the vacationers every need. We do offer varied delivery services; Standard Delivery, Same Day Delivery & Express Delivery can be added to all orders!

Order Placement: Our online rental store allows you to preview our large variety of items, photographs, review descriptions and place your orders 24/7 at your convenience. Orders may be placed directly online at vacationgear.com, by fax to 1-843-215-1076 or phone at 1-843-215-2700. Looking for something you did not find, contact us and make a new product suggestion! As new product requests are received and approved, these items will be added to the website inventory.
It is suggested that rental requests be made up to a year in advance allowing for selection & availability to be at its highest. Advance orders made in the current calendar year for the following year will secure the current year pricing until December 1st of the current year! All orders are subject to availability. Orders placed within “2” weeks prior to your arrival product availability will not be guaranteed. All orders must be placed at least “72” hours prior to your arrival! Orders placed within “72” hours prior to your arrival you must call our office at 1-843-215-2700 to confirm receipt of your request and product availability. Orders placed on your arrival day a “Same Day Delivery” fee will be added to your order.
Additional Items upon Check in: We recommend making all additions to your equipment order prior to your check in day to guarantee availability. If you need extra items after your initial delivery, we require a minimum order of $100.00 for free delivery. If your additional items are less than $100.00 a delivery fee of $25.00 will be added to your rental request. Additional items will be sent the day following your request as our trucks are pre-packed a day in advance. If same day delivery is necessary a “Same Day Delivery Fee of $50.00 will be added to your order.
Rental Rates: Scheduled Rental Rates Begin When The Equipment Leaves Our Store & Continues Until Returned. Rates presented in our brochure, website and all promotional items are quoted for a 1-7 day rental period. Linen rental for extended stays secondary rental periods are offered at ½ off! Pricing is subject to change without notice. State & Local Taxes vary dependent on delivery locations. Tax rates may change without notice. Tax rate increases mandated prior to lessee’s departure date, regardless of order placement date, will be applied to all orders. Lessee assumes all responsibility for additional taxes.
Product Descriptions: Every attempt is made to ensure product descriptions are accurate; however, we cannot be held responsible for errors in descriptions, change of product or manufacturers. Products may change without notice.
Rental Property Information: Please take time to read all of the information on your confirmation that you have provided us. We DO NOT confirm the information with your property manager. Therefore, it is your responsibility to review the check in date, check out date, Real Estate Company, unit number, etc. Please call us immediately if there is a discrepancy.
Your rental information and Guidelines are presented below and will review delivery information and times. You need not be present during delivery. Every effort is made to deliver all items by 3:00PM Standard Check-in Time. Depending on your delivery location on the driver’s route, your items may already be delivered by the time you arrive! Individual items may be delivered on different trucks at different times. If all items have not arrived by 3:00PM in prime season by 5:00PM, or you’re unable to locate delivery placement (Due to community delivery restrictions delivery placement may vary) simply call our office 843-215-2700 and we will assist with delivery status and questions. As we are unable to control congestion, construction, weather, mechanical delays, etc. we ask for your patience and understanding should we experience delays. We do not offer compensation due to late delivery.
Arrival/Delivery Information: Minimum Order: Minimum Order Of $100.00 (pretax) Your Delivery Is Free! Orders Under $100.00 A Delivery Fee Of $25.00 Will Be Added To Your Order.
Same Day Delivery: Same Day Delivery Service! Add Same Day Service To Your Order For Only $50.00! This fee is separate & independent of the delivery fees. Express Delivery: Delivery Service By 1:00 PM! Add Express Service To Your Order For Only $50.00! This fee is separate & independent of the delivery fees.
You do not need to be present at time of delivery. All items may not be delivered at the same time. Various equipment & linen will be delivered on separate delivery trucks by equipment type. (Linen/Baby/Beach etc.) Every effort is made to deliver your order on time. There are no refunds for late delivery unless Express Delivery was ordered. We ask for your patience and understanding during prime season delivery maybe delayed due to volume, traffic etc. Rental Items may be locked. You may call up to 24 Hours prior to arrival for your Lock Code Information 843-215-2700.
All items shall be delivered to your rental unit between:
September 1/April 30 3:00 PM – 4:00 PM If your order has not arrived by 4:00 PM September 1/April 30, please call our office 1-843-215-2700. During Prime/Holiday Seasons delivery maybe delayed due to volume, traffic etc.
May 1/August 31 3:00 PM – 6:00 PM If your order has not arrived by 4:00 PM Week Days 5:00PM Saturdays May 1/August 31, please call our office at 1-843-215-2700. During Prime/Holiday Seasons delivery maybe delayed due to volume, traffic etc.
Departure/Pickup Information: All items shall be picked up from your rental unit between:
January 1/December 31: 9:00 AM – 12:00 PM You do not need to be present at time of pick up.
At The End of Your Stay: Please count all linen & place all linen inside the Delivery Bag At The End of Your Stay. Please leave all items in the same location that they were delivered to you.

Press “4” General Message During Business Hours Every effort will be made to return your call the same day your message is left. If you are leaving a message after business hours your call will be returned the following business day.
Cancellations: Cancellations without penalty must be made 90 Days Prior to Arrival. Cancellations made 60-89 Days prior to delivery date will have 25% cancellation fee applied. Cancellations made 30-59 Days prior to delivery date will have 50% cancellation fee applied. Cancellations made 15-29 Days prior to delivery date will have 75% cancellation fee applied. Cancellations made 00-14 Days prior to delivery date are non refundable. Minimum cancellation fee is $10.00.
No refunds are provided for inclement weather. We will issue a future credit for up to 1 year for only days in which a mandatory evacuation is in effect. Days prior or after mandatory evacuation day(s) and days following are not eligible for future credit. A prorated credit towards future rentals will be given upon a written request within 2 weeks from the date of mandatory evacuation for the number of days the evacuation was mandatory.
Satisfaction: Vacation Gear guarantees satisfaction. Upon arrival renters must inspect all rental items for satisfactory condition. Unsatisfactory rental items must be reported to Vacation Gear within twenty four (24) hours of check in time. If unsatisfactory rental items are not reported within twenty four (24) hours of check in time items are then deemed satisfactory and the renter will be held liable for any damage found upon pickup w/out prior report to Vacation Gear. Upon Delivery Day, we do not offer refunds we will replace your item if dissatisfied, offer alternative equipment of a comparable value or a credit for a future rental. We Are Open 7 Days A Week 9:00 AM – 5:00 PM Monday – Friday. We are open extended hours during prime seasons on Saturdays and 9:00AM – 1:00PM on Sundays. Please report all requests for exchanges or additional equipment by 12:00PM to ensure same day service. Requests made after 12:00PM will be serviced the following day.
Rental Protection is not insurance. It is an agreement between the lessee and Vacation Gear that limits lessee’s financial responsibility for damage to rented equipment, in exchange for a fee. A fee of 10% the rental rate shall be paid in advance of rental commencement date covers up to $250.00 of replacement or repair parts & labor costs. Exclusions for the Rental Equipment Protection excluded but not limited to theft, loss, intentional acts, gross negligence, abuse, willful misconduct, damage caused by pets, damage resulting from lessee’s breach of rental contract, damage resulting for violations of application laws, damage due to misuse, unintended use of equipment, use of equipment under the influence of drugs or alcohol, use by unauthorized, unlicensed, uninsured individuals. Cleaning fees for uncleaned equipment or replacement cost of linens not properly placed for pickup or not returned to rental office. A deductible of one month’s rent or replacement cost which ever is the lessor will be charged to the customer for damaged equipment.
Lessee Risk: All equipment is used at Renter’s risk. Renter understands that there exist certain risks of injury from the use or misuse of such items, including the potential risk of serious injury, disability or death from the use of such items and agrees to assume all risks in connection with rental equipment, regardless of fault, including without limitation risk of use, risk of loss, risk of theft, risk of damage or destruction. Renter assumes all responsibility for rented equipment while in Renter’s possession. Renter agrees to indemnify and hold harmless Vacation Gear and their officers, shareholders, owners, operators, agents, and employees from any claim arising from renter’s use, operation or possession of the rented equipment. Under no circumstances will Vacation Gear. be held responsible for any damage to person or property, disability, injury or loss, including death, arising from the use of any rented equipment or the failure of the equipment to function as intended by the manufacturer.
Lessee Disclosure: The Lessee acknowledges that Lessee has inspected the equipment and has determined that same is in good condition and suitable for the purpose for which it has been leased upon delivery. The Lessee shall only use the property in the manner for which it is designed and intended to be used. Lessee assumes all responsibility for equipment while out of possession of lessor, and promises to return such equipment to the lessor in as good condition as it was at the effective date of the lease, natural wear from a responsible use expected. Lessee shall be liable for all charges, including labor costs to repair or replace rented equipment, any loss, theft, damage or destruction of leased property. All equipment lost or damaged beyond repair will be paid by the lessee at regular replacement price. All damaged equipment which may be repaired will be repaired by the lessor, on return thereof and the cost for such repairs shall be paid by the lessee. Accrued rental charges cannot be applied against the purchase price or cost of repairs of such damaged or lost equipment. If equipment is returned in unusable condition, the rental term and fees for rental continues until equipment is repaired or replaced to usable rent able condition.
Lessee Indemnification: Lessee shall indemnify and hold Vacation Gear, it’s officers, directors, agents, employees harmless from any and all claims, damages (including consequential damages), losses, liabilities, claims, suits, cost, expenses or proceedings (including all costs, expenses, and attorney’s fees) resulting from, related to or arising out of Lessor’s use or possession of the equipment. This equipment shall be used by the Lessee only. This writing contains and constitutes the entire agreement between the parties. This lease agreement can only be modified by written agreement signed by both Lessor and Lessee. The Lessee represents that Lessee is at least eighteen (18) years of age and under no disability which will prevent Lessee from entering into this agreement. Lessee agrees not to part with or assign this lease or the equipment without the written consent of Lessor.
